How to format and write a cover letter for customer service in 7 steps

Hiring managers and HR personnel are responsible for recruiting, hiring, and onboarding customer service representatives. So, it’s important to use cover letters to communicate the information that defines you and why you are a good candidate for them to invest in.

Follow these seven steps to help you write your customer service cover letter.

1. Write a title and header

The title of your cover letter should include your name and be specific to the job you’re applying for and the company you’re sending it to.

For example, you can format the title of your cover letter like this:

[Position X] : [Company Y] | [Name] or
Customer Service Representative: Tutone Ink | Jenny Heath

Next, create a header to add your contact information:

  • Full name

  • Phone number

  • Email address

  • Date

  • Links to your professional social media profiles

  • Personal website (optional)

Make sure your email address and any social media links you include are professional. Listing your “partyanimal29@aol.com” email address from 2003 doesn’t make the best impression on a hiring manager. Also, providing your LinkedIn profile is all you need regarding social media—unless another social media profile showcases skills that align with your desired role.

2. Start with a greeting

From customer service to cover letters, personalization is the key to connecting with your readers. If the job posting doesn’t include the hiring manager’s name, you can check out the company’s website—or pop over to LinkedIn and search for the company.
